Monthly timesheet templates

If you’re tracking the total hours each employee works each month, the monthly timesheet templates help hourly and salaried employees submit timesheets for payroll monthly. The monthly timesheet has space for 31 time entries, which is ideal for workers who track time for one shift per day. It also has a space for overtime hours, vacation time, lunch breaks, and more.

How to use the timesheet templates

Step 1: Download the timesheet template in the format of your choice. If using the Google Sheets template, please make a copy instead of requesting access.

Step 2: Fill in your employee’s name, their manager’s name, your company’s name, the date, your employee’s standard pay rate, and your employee’s overtime pay rate.

Step 3: Employees can fill in the date, job/shift, their times in and out (including breaks), and any remaining hours (overtime, sick, holiday, and vacation).

Step 4: Employees should sign the top of the form before handing in the timesheet. Managers can then calculate the employee’s total time for payroll.

Please note: These templates calculate an employee’s basic pay and do not include taxes, workman’s comp, or other paycheck deductions.

Industry-specific timesheet templates

Depending on your business’s industry, you could opt to use an industry-specific template that will include extra information you may need.

Construction timesheet templates

Download this PDF template to track time for construction workers. This weekly timesheet includes space for the worker’s name and ID number (if applicable), the worker’s trade classification, and the manager’s name.

The template also includes space for the company name, location or project, job or activity, and the worker’s pay rate and hours worked. This template does not calculate the worker’s deductions, withholdings, or net wages paid.

Volunteer timesheet templates

Use this template to track time for volunteers, including hours and overtime. This weekly timesheet includes space for the volunteer’s name, their supervisor’s name, the organization’s name, and the event or program they’re working for.

Hospitality timesheet templates

This template does not include calculations for the worker’s deductions, withholdings, or net wages paid.

Timesheet compliance

Before using any timesheet, ensure you and your employees are adhering to any government compliance guidelines. To avoid any trouble—not to mention inaccurate payroll—consider these important questions.

1. Are you paying for unauthorized overtime? If not, you could be noncompliant. If your employees are entitled to overtime pay, you have to pay it, whether you authorized the overtime or not. Failing to pay unauthorized overtime is a Fair Labor Standards Act (FLSA) violation. So even if you have a strict no-overtime policy in place at your company.

2. Are your employees tracking employee breaks? The Fair Labor Standards Act (FLSA) does not require employers to provide meal or rest breaks to employees. Twenty-one out of 50 states mandate meal breaks for employees, nine of which mandate both meal and rest breaks. But only 1 in 5 employees steps away from their desk for a midday meal. If your employees are still working during their lunch breaks, it means you could be violating FLSA regulations and not tracking breaks.

3. Are your employees misclassified? If you misclassify nonexempt employees, you’re in violation of the Fair Labor Standards Act (FLSA). So what’s the difference between nonexempt and exempt employees? Typically, nonexempt employees are hourly employees, and they’re eligible for overtime pay. If you misclassify your employees and fail to pay overtime, you may owe back pay and penalties.
